Full job description

Position Summary:

The Project Coordinator is responsible for coordination of project tasks and other activities. This position will provide support to project managers and other project team members including pre-proposal, proposal, pre-design, design, bidding, pre-construction and construction stages of the project. The Project Coordinator will also assist in developing project communication plans, project quality control procedures, resource plans, and tracking outstanding action items.

Duties and Responsibilities:

  • Prepare and maintain project specific documents including correspondence, meeting minutes, reports, contracts, proposals, and specifications.
  • Work with internal team members, subcontractors, and other stakeholders to schedule project meetings, develop agendas, and distribute meeting minutes.
  • Coordinate design meetings with clients.
  • Complete transmittal forms, file all office copy of all documents in the appropriate location, and transmit materials to the client for contractor’s material requests. Contractor material requests will be reviewed by the engineer.
  • Review project drawings, reports, and specifications to ensure uniformity.
  • Provide project reports to project teams, contractors, clients and other stakeholders
  • Coordinate project design, bidding, and construction administration for a variety of projects.
  • Provide strong organizational support, tracking of outstanding items, and documentation.
  • Coordinate project management tasks, including scope, schedule, and budget tracking.
  • Report potential contract scope modifications.
  • Create and maintain resource management plans.
  • Plan, organize, and coordinate technical activities/tasks in support of engineering deliverables
  • Accountable for project tracking, updating and maintaining project documentation on deliverables.
  • Communicate client’s anticipate project schedule to the project team
  • Coordinate project involvement of key project stakeholders
  • Coordinate set up of internal program number/job order based on contracts/work orders
  • Support cost management of the project via project status reports / financial reporting
  • Provide project updates to the Project Manager, Client Service Manager, and Market VP.
  • Provide the team with deadlines for different stages throughout the project's lifecycle
  • Serve as the liaison between the contractor, client, and Project Manager/design team during construction.
  • Establish lines of communication including content, frequency, and venue among all project stakeholders for design and construction.
  • Other projects and responsibilities may be added at the company’s discretion.

Special Knowledge, skills and abilities:

  • Previous project assistant experience required.
  • Previous project management experience preferred.
  • High degree of organization and accountability
  • Ability to follow through on assignments in a timely manner.
  • Strong interpersonal skills, planning ability, problem solving, and ability to multi-task.
  • Knowledge and ability to use the fundamental concepts, practices, and procedures of the field of specialization.

  • Familiarity with collaborative working environments such as Microsoft Teams.
  • Ability to effectively communicate both verbally and in writing with internal and external project team members, clients, and other stakeholders.

Education and Experience:

  • High School Diploma or GED required,
  • Associates/Bachelor's degree in business or related field preferred
  • Minimum three (3) years’ experience administrative support experience, preferably supporting project-based work in a professional services environment
  • Experience in reading and interpreting technical drawings and specifications.

At times, bending, reaching, standing, and walking may be required.
