Front Desk Operations:

  • Greet clients and visitors in a warm and professional manner.
  • Manage the reception area, ensuring it is clean and welcoming.

Appointment Scheduling:

  • Schedule and confirm appointments for clients using the spa's booking system.
  • Coordinate with spa staff to ensure smooth scheduling and minimize wait times.

Client Communication:

  • Answer phone calls and respond to inquiries, providing information about services, pricing, and spa policies.
  • Communicate with clients to confirm appointments and provide any necessary pre-appointment instructions.
  • Respond to instagram DM's and Patient Tex Messages

Check-In and Check-Out:

  • Check-in clients upon arrival, verifying personal information and ensuring accurate record-keeping.
  • Process payments with Clover and provide receipts at the end of appointments.

Maintain Client Records:

  • Update and maintain accurate client records in the spa's database, including the capturing of pre-treatment photos.

Ensure confidentiality of client information in compliance with privacy regulations.

Product Knowledge:

  • Familiarize yourself with spa services and skincare products to effectively answer client questions.
  • Promote and upsell spa products and services when appropriate, commission applicable.

Administrative Support:

  • Assist with administrative tasks such as filing, data entry, and managing office supplies.
  • Collaborate with other spa staff to ensure seamless daily operations.

Handle Queries and Concerns:

  • Address client concerns and inquiries promptly and professionally.
  • Escalate issues to management when necessary.

Maintain a Welcoming Environment:

  • Ensure the waiting area is comfortable and inviting for clients.
  • Address client needs to enhance their overall experience.

Collaboration with Med Spa and Plastic Surgery Team:

  • Work closely with other med spa and plastic surgery staff, including nurses and patient consultants, to coordinate client appointments and provide a cohesive experience.
  • Assist with social media content creation when necessary.

Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a customer service or receptionist role is preferred.
  • Excellent communication and interpersonal skills.
