About the position

The Columbia Memorial Space Center is a hands-on space museum and activity center located in Downey, CA, dedicated to inspiring visitors of all ages through science and innovation. The center honors the legacy of the Space Shuttle Columbia and aims to be a hub for innovative science learning in the Los Angeles area. The Reservations Specialist plays a crucial role as the first point of contact for all customer inquiries, managing the Space Center's booking system, gift store, and ticketing system. This position requires exceptional customer service skills and the ability to interact positively with patrons. As a Reservations Specialist, you will be responsible for creating a welcoming environment for all visitors, guiding them through admission options, and assisting with gift store purchases, classes, workshops, and events. You will process daily sales, maintain the lobby area, and manage bookings while ensuring effective communication with guests. The role also involves monitoring the Space Center's website, assisting with phone and online reservations, and providing information about museum exhibits and programs. This is a temporary, part-time position with flexible hours averaging twenty hours per week. Candidates must be available to work on Saturdays and during evening events. While temporary/part-time appointments do not qualify for City benefits, they do require participation in an alternative retirement program. The position may end with or without cause or advance notice, and part-time shifts are limited to 999 hours per fiscal year. The ideal candidate will have a strong customer service background, be bilingual in Spanish and English, and possess knowledge of Microsoft Office applications. The role requires the ability to work independently and as part of a team, manage time effectively, and provide leadership when necessary. Physical demands include the ability to lift and carry items up to 50 pounds and perform various office tasks.

Responsibilities

  • Serve as the first point of contact for all visitors.
  • Guide visitors through admission options, gift store, classes, workshops, and events.
  • Process daily sales and maintain accurate records.
  • Clean, organize, and maintain the lobby area of the Space Center.
  • Process bookings and maintain communication with guests.
  • Greet, engage, and interact with guests.
  • Respond promptly to visitor needs and inquiries.
  • Assist in monitoring the Space Center website.
  • Help guests with phone and online reservations and billing processes.
  • Utilize Google Calendar for facility scheduling.
  • Understand the internal phone transfer process and departmental structure.
  • Operate multiple software systems including Microsoft Office, Active Net, and Google Workspace.
  • Provide information on the Space Center's mission and programs.
  • Perform museum opening and closing procedures.
  • Set up and break down for facility rentals and events.
  • Enforce Space Center policies and safety procedures.
  • Provide exceptional customer service in person, over the phone, and via email.
  • Maintain records related to facility rentals and field trips.
  • Manage inventory of the Space Center gift store.
  • Support and mentor volunteers, fostering a positive team atmosphere.
  • Attend staff meetings and training sessions.
  • Stay updated on Space Center happenings, exhibits, and policies.

Requirements

  • Must be 18 years of age or older.
  • Two years of customer service experience.
  • High school diploma or equivalent.
  • Bilingual in Spanish and English is desired.
  • Knowledge of Microsoft Office applications including Word, Excel, and Outlook.
